Getting Started

OwnerLogix is a project management platform built specifically for owner's representatives and construction owners managing one or more active projects. It centralizes budgets, schedules, reports, documents, approvals, and team communication in a single platform — replacing spreadsheets and disconnected tools. It is designed for construction professionals who need to track project health across an entire portfolio, not just a single job.

From your dashboard, click the "New Project" button in the top right. You will be prompted to enter the project name, address, project number, type (new construction, renovation, tenant improvement, etc.), and assigned team members. Once created, your project will appear in your portfolio and you can begin adding budget, schedule, and document information.

Go to Account Settings → User Management and click "Invite User." Enter the team member's email address, assign them a role (Admin, Member, or Viewer), and optionally assign them to specific projects. They will receive an email invitation with a link to create their account. You can track pending invitations in the User Management table.

Your account represents your organization — it contains all of your projects, users, settings, and billing information. A project is an individual construction project within your account. You can have unlimited projects under a single account, and different team members can have access to different projects depending on their role.

Yes. OwnerLogix supports CSV import for budget line items and milestone schedules. Navigate to the relevant section within your project and look for the "Import" button. For questions about importing from Procore or other connected tools, see the Integrations section below.

Projects & Portfolio

The Portfolio Dashboard is your home screen in OwnerLogix. It shows all active projects with key health indicators including budget status, schedule status, and pending action items. You can switch between card view, list view, and map view using the view controls in the top right.

Open the project, navigate to Project Settings, and select "Archive Project." Archived projects are removed from your active portfolio view but all data is preserved and searchable. You can restore an archived project at any time from the Archived Projects section of your dashboard.

Yes. From the project settings menu, select "Duplicate Project." You can choose which elements to carry over — budget structure, schedule phases, document folder structure, and team assignments. Project-specific data such as actual costs, uploaded documents, and reports are not duplicated.

Projects can be in one of the following statuses: Pre-Construction, Active, Substantial Completion, Closeout, Complete, or On Hold. You can update a project's status from the Project Settings panel. Status changes are logged in the project activity feed.

From within the project, navigate to the Team tab and click "Add Team Member." Select from existing account users or invite a new user. You can assign a project-specific role for each person — their account role sets the ceiling for what they can do, but you can restrict further at the project level.

Budget & Cost Management

Budgets in OwnerLogix are organized by CSI division (Construction Specifications Institute) by default, though you can customize the line item structure to match your project's needs. Each line item tracks the original budget, approved changes, revised budget, committed costs, and forecasted final cost. The system automatically calculates variance at the line item and total project level.

Committed costs are amounts that have been contracted or obligated — purchase orders, subcontracts, and approved change orders. Actual costs (also called invoiced costs or costs to date) are amounts that have been billed and approved for payment. The gap between committed and actual represents work contracted but not yet billed.

Navigate to the Budget section of your project and click "Add Change Order." Enter the description, amount, CSI division, and supporting documentation. If the amount exceeds the account's approval threshold, it will be routed for approval before being reflected in the revised budget. Change orders can also be imported from Procore if the integration is active.

Budget alerts fire when a line item or overall project variance exceeds the thresholds configured in Account Settings → Budget & Approval Alerts. There are two levels: a Warning threshold (default 10%) and a Critical threshold (default 20%). Alerts are delivered based on your personal notification preferences. You can also set contingency depletion alerts from the same settings page.

Yes. OwnerLogix treats contingency as a dedicated line item that can be drawn against throughout the project lifecycle. The budget dashboard shows contingency remaining as both a dollar amount and a percentage of original contingency, with visual indicators as it depletes.

Schedule & Milestones

From the Schedule tab within your project, click "Add Phase" to create a construction phase, then "Add Milestone" within each phase. Each milestone has a name, target date, responsible party, and completion status. You can import milestones from a CSV file or sync them from Procore if that integration is enabled.

When a milestone is within 3 days of its target date and has not been marked complete, OwnerLogix automatically flags it as "Approaching" and sends a notification to the assigned team members. If the target date passes without completion, the milestone is flagged as "Overdue" and notifications are sent daily until it is resolved.

When you edit a milestone's target date, OwnerLogix will ask whether this is a schedule revision (intentional date change, logged to history) or a data correction (fixing an entry error, no history logged). Schedule revisions are captured in the project activity log and visible in reporting.

Reports & Documents

Navigate to the Reports tab of your project and click "New Report." Select the report type (Owner Report, Executive Summary, Budget Snapshot, Schedule Update), choose the reporting period, and select which sections to include. OwnerLogix pre-populates the report with current project data. You can edit any section before publishing or scheduling delivery.

Yes. Report cadence is configured at two levels: the account-wide default in Account Settings → Report Settings, and project-level overrides within each project's settings. You can set weekly, bi-weekly, or monthly auto-generation with designated recipients. Reports can be delivered as PDFs, as web-view links, or both.

Navigate to the Documents tab of your project and either drag and drop files into the upload zone or click "Upload Documents." Files are organized into categories (Contracts, Drawings, Submittals, Photos, Reports, etc.). You can create custom folders to match your project's organizational structure.

OwnerLogix supports PDF, DOCX, XLSX, PNG, JPG, TIFF, DWG, and DXF file uploads. Individual file size limit is 50MB. For larger files such as full drawing sets, consider compressing or splitting the files before uploading, or contact info@ownerlogix.com to discuss storage options for high-volume accounts.

Document-level permissions are controlled by the team member's role. Viewers can see documents but cannot upload, edit, or delete. Members can upload and organize documents within their assigned projects. Admins have full document management access across all projects. Document-level sharing with external parties (clients, contractors) is available via the client portal feature.

Approvals & Workflows

When an item is submitted that meets or exceeds the approval threshold (set in Account Settings), OwnerLogix automatically routes it to the designated approver(s). The approver receives a notification with a direct link to the item. They can approve, reject, or request more information directly from the notification or from the Approvals section of the platform.

Two-factor approval requires sign-off from two distinct users before an item is considered approved. It applies to items above the "Require Two-Factor Approval Above" threshold configured in Account Settings. Both approvers are notified simultaneously and the item remains in a pending state until both have responded.

Yes. In Personal Settings → Personal Approval Settings, you can set a personal approval threshold that is lower than the account-wide threshold. This means you will be notified and required to confirm approvals starting at your personal threshold, even if the account threshold is higher. Your personal threshold cannot exceed the account-level threshold.

OwnerLogix sends reminder notifications on the cadence configured in Account Settings (every 24 hours, 48 hours, or weekly). If the approver is marked as Out of Office, the notification is also sent to their designated backup contact. Approvals do not auto-approve due to inaction — they remain pending until a response is submitted.

Yes. In Personal Settings → Personal Approval Settings, turn on Approval Delegation and select a delegate, the delegation period, and the scope of items to delegate. While delegation is active, a banner will be visible on your settings page showing who is handling your approvals and through what date.

Team & User Management

OwnerLogix has four roles. Owner has full access including billing and account deletion — there is one Owner per account. Admin has full access to all projects and settings except billing and account deletion. Member can view and edit projects they are assigned to. Viewer has read-only access to assigned projects. Roles are set in Account Settings → User Management and can be changed by an Admin or the Owner.

Go to Account Settings → User Management, find the user in the table, click the three-dot menu, and select "Remove User." You will be asked to confirm before removal. The user will immediately lose access to all projects and account data. Their activity history (approvals, comments, uploads) is preserved for audit purposes.

Yes. A single email address can be associated with multiple OwnerLogix accounts — for example, if a consultant works with multiple owner organizations. Each account is separate and the user switches between them after login. Their personal settings and notification preferences apply per account.

Pending approvals assigned to a removed user are flagged as "Unassigned" and an alert is sent to account admins. Admins should reassign those approvals promptly. Removing a user does not auto-reassign or auto-approve any pending items.

Integrations

Go to Account Settings → Integrations and click "Connect to Procore." You will be redirected to Procore's authorization page to grant OwnerLogix access to your Procore company account. Once authorized, you will be returned to OwnerLogix where you can configure sync direction, frequency, and scope. Initial setup typically takes 2–5 minutes.

You can configure which data types sync in Account Settings → Integrations → Procore Sync Settings. Available sync scopes include Budget & Commitments, Schedule, RFIs, Submittals, and Documents. You can sync in one direction (pull from Procore or push to Procore) or bidirectionally.

Check the sync error notification for the specific error type. Common causes include an expired authorization token (reconnect via Account Settings → Integrations), a data conflict requiring manual resolution, or a temporary API timeout (retry the sync manually using the "Sync Now" button). If the issue persists after retrying, contact info@ownerlogix.com with the error details.

Procore is the currently active integration. Bluebeam, Microsoft Project, DocuSign, and QuickBooks integrations are in development and will be released in future updates. You can see the planned integrations in Account Settings → Integrations as coming soon cards.

Notifications & Alerts

Go to Personal Settings → Notification Preferences. You can turn entire channels on or off (in-app, email, SMS, push) using the global channel toggles, and then fine-tune individual event types using the notification matrix. Each event can be enabled or disabled independently per channel.

In Personal Settings → Notification Preferences → Quiet Hours, enable the quiet hours toggle and set your preferred window (start time and end time) and the days it applies. During quiet hours, SMS and push notifications are suppressed. In-app and email notifications are not affected by quiet hours. High-priority alerts such as critical budget overruns bypass quiet hours.

SMS notifications require a verified phone number in your profile. Go to Personal Settings → Contact & Availability and add your phone number. Then confirm that SMS is enabled for the specific event types you want in Personal Settings → Notification Preferences. If SMS is still not arriving, contact info@ownerlogix.com.

Email Digest Mode batches your email notifications into a single summary email rather than sending individual emails for each event. You can set the digest frequency to every hour, every 4 hours, or once daily in Personal Settings → Notification Preferences → Notification Digest. High-priority alerts and reports marked as urgent bypass the digest and are sent immediately.

Account & Billing

Go to Account Settings → Account & Branding. You can edit the account name and upload a new logo (PNG, JPG, or SVG, max 2MB). The logo appears in the top navigation and on generated reports. Changes take effect immediately after saving.

Your current plan and billing information are visible in Account Settings → Billing & Plan. Full billing management including plan changes and payment method updates are handled through the billing portal. For billing questions, contact info@ownerlogix.com.

White-label branding is available on Professional and Enterprise plans. If your plan includes this feature, go to Account Settings → White-Label Branding and enable the white-label toggle. You can then set a client-facing firm name, logo, brand colors, and custom subdomain. Contact info@ownerlogix.com if you are unsure which plan you are on.

To cancel your account, contact info@ownerlogix.com. Please include your account name and the email address associated with the account owner. Our team will confirm cancellation and advise on data export options before your account is closed. Account data is retained for 90 days after cancellation before permanent deletion.

Troubleshooting

First, try a hard refresh (Cmd+Shift+R on Mac, Ctrl+Shift+R on Windows). If the issue persists, clear your browser cache and cookies, then reload. OwnerLogix is optimized for Chrome, Firefox, Safari, and Edge. If you are using an older browser version, updating it may resolve the issue. For ongoing performance problems, contact info@ownerlogix.com with your browser version and a description of what you are experiencing.

If you have forgotten your password, click "Forgot Password" on the login screen and enter your email address. A reset link will be sent to your inbox. If you are not receiving the reset email, check your spam folder. If your account may have been suspended by an admin, contact your account owner. For all other login issues, email info@ownerlogix.com.

Data displayed in OwnerLogix reflects what has been entered or synced from a connected integration. If a figure looks wrong, first check whether it may have been entered incorrectly and edit the source record directly. If your account has Procore connected and data is syncing, the issue may originate in Procore. If you cannot locate the source of the error, contact info@ownerlogix.com with the project name and specific data point.

There are two common reasons. First, you may not have been assigned to that project — contact your account admin to request access. Second, the project may be archived — ask your admin to check the Archived Projects list. If you believe you should have access and the project is active, email info@ownerlogix.com.

Go to Account Settings → User Management and find the user in the table — their status will show as "Invited" if the invite was sent. Click the three-dot menu and select "Resend Invite." Ask the team member to check their spam folder. If the issue continues, contact info@ownerlogix.com to verify email delivery.
